Address files for ACE's four periodical-rate publication mailings a year (RFP 3.B.9), generated on the publication schedule in the mailing house's format, NCOA-processed first.

Returned mail queue (RFP 3.B.10)

Every return is investigated, the member contacted if needed, and the database corrected, with status tracked to closure. Email bounces are monitored the same way: bounced addresses are flagged, members contacted through alternate channels, and records updated, keeping communication health visible at all times.

RFP 3.B.10: each returned piece is investigated, the member contacted, and the correction made. The member link opens their record so the address can be fixed on the spot, and every step is written to the audit log.

Paper transaction records (RFP 3.B.8)

Every mailed application, renewal and address change keyed by staff is retained here with its postmark, tender and reference. ACE requires four years; we hold them for the full ten-year records period and include them in the monthly snapshot delivered to ACE-controlled storage.
